Quick Start for Owners ​

Get your AI coaching app up and running in under 30 minutes.

Step 1: Accept Your Invitation ​

You'll receive an email invitation to create your coaching app. Click the link to get started.

Step 2: Create Your Account ​

  1. Enter your email and create a password
  2. Verify your email address
  3. Complete your profile (name, photo)

Step 3: Set Up Your App ​

Name Your App ​

Choose a name that represents your brand or coaching business.

  • Good examples: "Fitness with Sarah", "Business Growth Academy", "Mindful Living Hub"
  • This will be visible to your members

Upload your logo (recommended: square format, at least 200x200px).

Set Your Colors (Coming Soon) ​

Customize your app's color scheme to match your brand.

Step 4: Create Your First Tier ​

Tiers determine what features members can access and how much they pay.

  1. Go to Admin → Tiers
  2. Click Create Tier
  3. Fill in the details:

Start Simple

Start with one tier. You can always add more later.

Step 5: Connect Stripe ​

To accept payments, you'll need to connect your Stripe account.

  1. Go to Admin → Billing
  2. Click Connect Stripe
  3. Complete the Stripe onboarding process
  4. Return to ToolChat

Once connected, you'll be able to:

  • Accept credit card payments
  • Manage subscriptions
  • Issue refunds
  • View payment history

Step 6: Set Up Your AI Agent ​

This is where the magic happens! Your app comes with one AI agent — you shape it to sound like you and know your methodology.

  1. Go to Admin → Agent Editor
  2. Click the Identity node on the brain canvas
  3. Give it a name (e.g., "Coach Sarah AI") and pick an avatar
  4. Write a system prompt describing your coaching style, then Save Identity and turn on Published

Let the AI Builder write it for you

Click AI Builder in the header and describe your business — it'll draft your identity and system prompt, and can even create your first skill. See AI Agent Builder.

Example System Prompt ​

You are Coach Sarah's AI assistant, specializing in fitness 
and nutrition coaching. You follow Sarah's "Sustainable 
Fitness" methodology which emphasizes:

- Progressive overload in training
- Flexible nutrition (80/20 rule)
- Lifestyle integration over strict diets
- Mindset and habit formation

Always be encouraging, provide actionable advice, and 
reference Sarah's programs when relevant. If asked about 
medical conditions, recommend consulting a healthcare provider.

Step 7: Add Knowledge Base Content ​

Add sources to your one knowledge base so the agent can reference your content. It searches this automatically — no per-agent setup.

  1. In the Agent Builder, click the Knowledge node (or open it from the AI Builder)
  2. Click Add Sources
  3. Add files (PDF, DOCX, TXT, MD, HTML, CSV, audio, video), a YouTube URL, or pasted text:
    • Your programs and methodologies
    • FAQs and common questions
    • Course materials and recordings
    • Anything you want the AI to know

Add specialist skills

For repeatable jobs (offers, sales scripts, launch plans), author Skills & Game Plans — the agent activates them on demand and you can gate them by tier.

Step 8: Invite Your First Member ​

  1. Go to Admin → Members
  2. Click Invite Member
  3. Enter their email address
  4. Select which tier they should join
  5. They'll receive an email to sign up

You're Ready! 🎉 ​

Your coaching app is now live. Here's what to do next:

  • [ ] Test the AI - Chat with your agent to make sure it's responding well
  • [ ] Create content - Add courses in the Classroom section
  • [ ] Invite members - Start building your community
  • [ ] Monitor usage - Check the Admin Dashboard for insights
