Knowledge Base
The Knowledge Base is how you train your AI agents to know your specific content. By uploading documents, you give the AI context to provide accurate, relevant responses.
How It Works
Upload Documents → AI Processes & Indexes → Agents Reference During ChatsWhen a member asks a question:
- AI searches your knowledge base for relevant content
- Uses that content as context for the response
- Generates an answer informed by your specific materials
This is called Retrieval Augmented Generation (RAG).
Uploading Content
Accessing Knowledge Base
- Go to Admin → Knowledge
- Click Upload Documents
- Select files to upload
- Wait for processing
Supported File Types
| Type | Extensions | Best For |
|---|---|---|
| Guides, eBooks, worksheets | ||
| Documents | .doc, .docx | Word documents |
| Text | .txt, .md | Plain text, markdown |
| Spreadsheets | .csv | Data, lists |
File Size Limits
- Maximum file size: 25 MB per file
- Recommended: Keep files under 10 MB for faster processing
What to Upload
High-Value Content
✅ Training materials
- Course content and transcripts
- Methodology documentation
- Frameworks and systems
✅ Reference documents
- FAQs and common questions
- Glossaries and terminology
- Quick reference guides
✅ Client-facing content
- Program descriptions
- Pricing and tier information
- Policies and guidelines
Less Effective Content
❌ Images only - AI can't read images in documents ❌ Heavily formatted - Complex layouts may not parse well ❌ Outdated content - Remove old/incorrect information ❌ Duplicate content - Multiple copies confuse the AI
Organizing Your Knowledge Base
Recommended Structure
Organize your uploads logically:
📁 Core Methodology
└── your-framework.pdf
└── core-principles.docx
📁 Programs
└── program-a-overview.pdf
└── program-b-overview.pdf
📁 FAQs
└── common-questions.txt
└── troubleshooting.docx
📁 Reference
└── exercise-library.pdf
└── nutrition-guidelines.pdfNaming Conventions
Use clear, descriptive file names:
- ❌
doc1.pdf - ✅
beginner-workout-program-guide.pdf
Viewing & Managing Documents
Document List
Go to Admin → Knowledge to see:
- All uploaded documents
- File names and sizes
- Upload dates
- Processing status
Document Actions
- View - See document details
- Delete - Remove from knowledge base
Deletion
Deleting a document removes it from AI context immediately. This cannot be undone.
Optimizing Your Knowledge Base
For Better AI Responses
- Be comprehensive - Cover all topics members might ask about
- Be specific - Include concrete examples and details
- Be current - Keep content up to date
- Be organized - Well-structured content performs better
Content Tips
Include Q&A format:
Q: How often should I work out?
A: For beginners, 3-4 days per week is optimal.
This allows for adequate recovery between sessions.Include terminology:
Progressive overload: The gradual increase of stress
placed on the body during training.Include your voice:
Our philosophy: We believe in sustainable fitness,
not crash diets or extreme workouts.Troubleshooting
AI Not Using Knowledge
If the AI isn't referencing your content:
- Check processing status - Documents must be fully processed
- Verify content relevance - Does the doc cover the topic?
- Check file format - Some PDFs don't parse well
- Add more context - More content = better matching
Incorrect Information
If the AI gives wrong answers:
- Find the source - Which document has incorrect info?
- Update or remove - Fix the document and re-upload
- Add clarification - Upload a document that clarifies
Poor Response Quality
- Add more detail - General content = general answers
- Add examples - Concrete examples help the AI
- Structure content - Use headers, bullet points
- Test specific questions - Identify gaps in knowledge
Best Practices
Do
- ✅ Upload your best, most comprehensive content
- ✅ Include FAQs and common questions
- ✅ Keep content up to date
- ✅ Use clear, simple language
- ✅ Include relevant keywords and terminology
Don't
- ❌ Upload duplicate content
- ❌ Include outdated or incorrect information
- ❌ Overload with irrelevant content
- ❌ Rely on images for important information
- ❌ Upload confidential/sensitive information
