Owner Feature

Member management is available to owners and admins.

Overview

Member management allows you to:

• Invite new members
• View member details and activity
• Manage subscriptions
• Track member engagement
• Capture and track leads

Inviting Members

Single Invites

1. Go to Admin → Team
2. Click Invite Member
3. Enter email and select tier
4. Member receives invitation email

Invitation Flow

Send Invite → Member Signs Up → Payment (if applicable) → Access Granted

Share tier-specific join links for self-service signups:

https://yourapp.toolchat.ai/join/your-org/tier-name

Member List

View all members with:

• Name and email
• Current tier
• Subscription status
• Join date
• Last active

Filtering & Search

• Search by name or email
• Filter by tier
• Filter by status (active, past due, cancelled)
• Sort by various fields

Member Actions

For each member, you can:

• View details — Activity and subscription info
• Change tier — Upgrade or downgrade
• Cancel subscription — End their membership
• Remove member — Delete from organization

Subscription States

Status	Meaning
Active	Subscription current, full access
Past Due	Payment failed, in retry period
Cancelled	Subscription ended, no access
Trialing	In trial period

Lead Capture

Track potential members before they subscribe.

Lead Sources

• Landing page signups
• Form submissions
• Referrals
• Virtual Coach guest signups

Lead Status

Status	Meaning
New	Just captured
Contacted	Initial outreach made
Qualified	Good fit, interested
Converted	Became a member
Lost	Didn't convert

Managing Leads

1. Go to Admin → Leads
2. View and filter leads
3. Update status as you work them
4. Convert to members when ready

Admin Team

Add admins to help manage your organization:

• Owner — Full access to everything
• Admin — Member management, content creation

Inviting Admins

1. Go to Admin → Team
2. Click Invite Admin
3. Enter email
4. Admin receives invitation

Virtual Coach Guests

Track guests who sign up through member Virtual Coach shares:

• See which members are generating guests
• Track guest engagement
• Monitor usage across shares
