Knowledge Base
Train AI agents with your specific content using RAG (Retrieval Augmented Generation).
Overview
The Knowledge Base enables AI agents to reference your specific content when responding to members. Upload documents, and the AI retrieves relevant information during conversations.
How It Works
Upload Documents → AI Indexes Content → Retrieved During Chats → Informed ResponsesWhen a member asks a question:
- AI searches your knowledge base for relevant content
- Uses that content as context for the response
- Generates an answer informed by your specific materials
This technique is called Retrieval Augmented Generation (RAG)—it grounds AI responses in your actual content rather than generic knowledge.
Types of Knowledge Bases
Organization Knowledge Base
Owners create knowledge bases for organization-wide AI agents:
- Available to all agents in the organization
- Managed in Admin → Knowledge
- Shared across the team
Member Personal Knowledge Base
Members can create personal knowledge bases for Virtual Coach:
- Private to the individual member
- Used with personal AI agents
- Managed in Settings → Virtual Coach
Supported Content
File Types
| Format | Extensions | Best For |
|---|---|---|
| Guides, eBooks, worksheets | ||
| Documents | .doc, .docx | Word documents |
| Text | .txt, .md | Plain text, markdown |
| Spreadsheets | .csv | Data, lists |
What Works Well
✅ Training materials
- Course content and transcripts
- Methodology documentation
- Frameworks and systems
✅ Reference documents
- FAQs and common questions
- Glossaries and terminology
- Quick reference guides
✅ Client-facing content
- Program descriptions
- Pricing and tier information
- Policies and guidelines
Less Effective Content
❌ Images only — AI can't read images in documents ❌ Heavily formatted — Complex layouts may not parse well ❌ Outdated content — Remove old/incorrect information ❌ Duplicate content — Multiple copies confuse the AI
File Limits
- Maximum file size: 25 MB per file
- Recommended: Keep files under 10 MB for faster processing
- Image content not processed
- Complex formatting may not parse well
Best Practices
Content Quality
- Comprehensive — Cover topics members ask about
- Accurate — Keep information up to date
- Clear — Use simple, direct language
- Structured — Organize with headers and sections
Organization
Use clear, descriptive file names:
- ❌
doc1.pdf - ✅
beginner-workout-program-guide.pdf
Content Tips
Include Q&A format:
Q: How often should I work out?
A: For beginners, 3-4 days per week is optimal.
This allows for adequate recovery between sessions.Include terminology:
Progressive overload: The gradual increase of stress
placed on the body during training.Include your voice:
Our philosophy: We believe in sustainable fitness,
not crash diets or extreme workouts.Managing Documents
Uploading
- Go to Admin → Knowledge (for org) or Settings → Virtual Coach (for personal)
- Click Upload Documents
- Select files to upload
- Wait for processing
Viewing Documents
See all uploaded documents with:
- File names and sizes
- Upload dates
- Processing status
Deleting Documents
Deletion
Deleting a document removes it from AI context immediately. This cannot be undone.
Troubleshooting
AI Not Using Knowledge
If the AI isn't referencing your content:
- Check processing status — Documents must be fully processed
- Verify content relevance — Does the doc cover the topic?
- Check file format — Some PDFs don't parse well
- Add more context — More content = better matching
Incorrect Information
If the AI gives wrong answers:
- Find the source — Which document has incorrect info?
- Update or remove — Fix the document and re-upload
- Add clarification — Upload a document that clarifies
Poor Response Quality
- Add more detail — General content = general answers
- Add examples — Concrete examples help the AI
- Structure content — Use headers, bullet points
- Test specific questions — Identify gaps in knowledge
Security
What's Safe to Upload
- Training materials
- Program descriptions
- General methodology
- Public-facing content
What NOT to Upload
- Passwords or credentials
- Personal client information
- Financial data
- Legally sensitive documents
- Copyrighted material you don't own
Your knowledge base is:
- Stored securely
- Only accessible to your AI agents
- Not shared with other organizations
- Not used to train AI models
